Privacy policy.
Runsheet is a run-sheet app for live event crews, operated from New Zealand. This policy explains what information we collect, why we collect it, and what we do with it. We've tried to keep it plain — if anything is unclear, email us at hello@runsheet.site.
What we collect
- Account details. When you sign in — anonymously, or with email and password, Google, or Apple — we receive your email address and display name (where the provider shares them) through Firebase Authentication. Anonymous accounts have neither until you upgrade them.
- Sheet and task data. The run sheets you create: sheet names, tasks, times, statuses, notes, and the crew members you've shared with. This is the content of the app.
- Photos. Photos you attach to tasks as evidence of completed work.
- Push notification tokens. A device token from Firebase Cloud Messaging so we can send you notifications about your sheets.
- Invite emails. When you invite someone to a sheet, we use their email address to send the invite.
We don't collect your precise location, contacts, or advertising identifiers, and we don't run third-party analytics or ad trackers.
How we use it
We use your information to run the app: signing you in, storing and syncing your sheets in real time, showing crew members the sheets shared with them, sending push notifications and invite emails, and answering support requests. That's it — we don't use your data for advertising or profiling.
Where it's stored and who processes it
We use three service providers to operate Runsheet, all acting as data processors on our behalf:
- Google Firebase — authentication, our real-time database (hosted in the
asia-southeast1region, Singapore), and push notifications. - Cloudflare R2 — storage for task photos. Cloudflare is a US company with global storage infrastructure.
- Resend — delivery of transactional email, such as sheet invites.
Because these providers operate outside New Zealand, your data may be stored or processed overseas. We only work with providers who offer protections comparable to those required by the New Zealand Privacy Act 2020.
We never sell your data, and we don't share it with anyone else except where the law requires us to.
Who can see your sheets
Sheets are private to you and the crew members you invite. Someone you invite can see that sheet's tasks, notes, photos, and the names of other crew on it. Removing someone from a sheet removes their access.
Retention
We keep your data for as long as your account exists so your sheets are there when you need them. When you delete a sheet, its tasks and photos are deleted. When you delete your account, we delete your account data, sheets you own, and associated photos. Copies may persist in provider backups for a short period before being purged.
Deleting your account and data
You can delete your account at any time in the app: Profile → Delete account. Or email hello@runsheet.site from the address on your account and we'll do it for you. Deletion is permanent.
Your rights
Under the New Zealand Privacy Act 2020, you have the right to ask for a copy of the personal information we hold about you and to ask us to correct it. Email us and we'll respond promptly. If you're not happy with how we've handled your information, you can complain to the Office of the Privacy Commissioner (privacy.org.nz).
Children
Runsheet is a tool for working event crews and is not directed at children under 16. We don't knowingly collect information from anyone under 16 — if you believe we have, email us and we'll delete it.
Changes to this policy
If we make meaningful changes to this policy, we'll update the effective date above and, for significant changes, let you know in the app or by email. Continued use of Runsheet after a change means you accept the updated policy.
